As an Executive Administrative Assistant within Commercial and Investment Global Credit Trading & Syndicate, you will demonstrate the ability to navigate the firm effectively and excel in a dynamic, deadline-driven environment, with strong organizational, time management, and polished interpersonal and communication skills. You are expected to exhibit a high level of professionalism, exercise discretion, and consistently deliver high-quality work.
Job Responsibilities

Proactively manage administrative functions independently and communicate issues or delays in advance

Help plan, organize, and execute various events, including providing on-site support at off-site conferences, which will involve travel

Coordinate domestic and international travel arrangements, including logistics and itinerary management

Prepare and submit expense reports accurately and on time, ensuring adherence to company policies and guidelines

Manage a high volume of emails by prioritizing requests and responding promptly and professionally

Handle incoming calls with professionalism, triage inquiries, escalate as appropriate, and ensure timely follow-up

Partner closely with the administrative team to ensure seamless coverage, knowledge sharing, and consistent support

Provide proactive support on overflow work, ad hoc requests, and special projects
Required qualifications, capabilities and skills

At least five years of administrative experience

Ability to travel to provide on-site support at off-site events

Strong interpersonal, written, and verbal communication skills

Tech-savvy, with the ability to leverage tools and systems to drive efficiency and streamline processes

Advance ability to organize

Ability to manage responsibilities independently, anticipate needs, and communicate potential issues proactively; demonstrates sound judgment and a sense of urgency in handling high-volume scheduling demands

Team-oriented, with a strong commitment to collaboration and continuity of coverage

Strong Proficiency in Microsoft Office Suite
Preferred qualifications, capabilities, and skills
- Experience supporting at the Managing Director level (or equivalent) or above
- College degree is a plus
Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid option
