About this Role:
Consertus is seeking an experienced Office Manager with at least 15 years of experience to support our project office serving LA Metro in Downtown Los Angeles. This role will manage daily office operations, supervise administrative support staff, coordinate employee onboarding, and provide executive and meeting support. The ideal candidate is highly organized, professional, service-oriented, and able to maintain an efficient office environment while adapting administrative processes to support project growth.
Key Responsibilities:
Office Operations and Administration
- Manage the daily administrative and operational functions of the Downtown Los Angeles project office.
- Maintain an organized, professional, efficient, and welcoming office environment for employees, clients, visitors, and project partners.
- Coordinate office supplies, equipment, mail, deliveries, facilities requests, workspace assignments, building access, maintenance needs, and general office logistics.
- Serve as the primary point of contact for routine office questions, service requests, vendors, and workplace concerns.
- Develop and maintain office procedures, administrative forms, shared resources, employee directories, seating plans, and contact lists.
Staff Supervision and Onboarding
- Provide day-to-day supervision, training, work assignments, and support to administrative and office-support personnel.
- Monitor administrative workflows and help ensure consistent, timely, and professional support across the project office.
- Coordinate the administrative components of employee onboarding and offboarding, including workspaces, equipment requests, building access, orientation schedules, and introductory meetings.
- Maintain onboarding and offboarding checklists and coordinate requirements with Human Resources, Information Technology, project leadership, and other internal teams.
Executive and Meeting Support
- Provide administrative support to project executives, directors, and other members of the leadership team.
- Coordinate calendars, conference rooms, virtual meetings, leadership meetings, client meetings, and office events.
- Prepare agendas, presentation materials, attendance lists, correspondence, reports, and other meeting documents.
- Record and distribute meeting minutes, decisions, and action items when requested, and follow up on outstanding administrative items.
- Coordinate visitor arrangements, local travel, team activities, and other routine office or leadership support needs.
Office Growth and Process Support
- Anticipate office space, equipment, administrative coverage, and onboarding needs as project staffing increases.
- Adjust routine office procedures and administrative resources to support a growing and evolving project team.
- Identify practical process improvements that strengthen organization, communication, responsiveness, and office efficiency.
- Provide backup administrative coverage and perform other office-management duties as assigned.
Minimum Qualifications
- At least 15 years of progressively responsible office management, administrative operations, executive support, or closely related experience.
- Experience supervising, training, and coordinating administrative or office-support personnel.
- Experience coordinating employee onboarding, workspace preparation, office access, equipment requests, and related logistics.
- Experience providing administrative and meeting support to executives, directors, program managers, or other senior leaders.
- Advanced organizational and time-management skills, with the ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills and the ability to interact professionally with employees, executives, clients, vendors, and visitors.
- Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and other Microsoft 365 applications.
- Ability to work onsite in Downtown Los Angeles five days per week.
Preferred Qualifications
- Experience supporting an engineering, construction, program management, transportation, transit, infrastructure, consulting, or professional-services organization.
- Experience supporting a public agency, transportation authority, or major capital-improvement program.
- Previous experience working with LA Metro or in a comparable client-facing project-office environment.
- Experience supporting a growing office or project team and implementing practical administrative process improvements.
Working Hours & Location:
- Full-time role with standard business hours, and occasional additional hours based on meetings, deadlines, office events, or business needs.
- This position is fully onsite five days per week at the LA Metro project office in Downtown Los Angeles.
- Reliable attendance and consistent onsite office coverage are essential to this position.
Compensation Range: $90,000–$110,000 annually
