We are looking for a highly organized, discreet, and tech-savvy Legal Operations Analyst to support our legal team in Singapore. This role is ideal for someone who takes pride in delivering accurate, high-quality administrative support, enjoys bringing structure to high-volume workflows, and is comfortable using technology, including AI tools, to improve efficiency and consistency. The successful candidate will be a trusted member of the team, supporting document management, matter administration, coordination, and day-to-day legal operations processes.
This is a hands-on role suited for someone who is meticulous, dependable, process-driven, and comfortable performing recurring administrative tasks with care and professionalism.
What you'll do
- Provide high-quality administrative and operational support to the legal team.
- Maintain, organize, and update databases, trackers, and records relating to legal documents and matters.
- Manage document-related tasks, including filing, scanning, photocopying, printing, formatting, compiling, and organizing large volumes of documents.
- Prepare standard correspondence and assist with document formatting, collation, and compilation.
- Support the execution, tracking, filing, and retrieval of legal documents.
- Process invoices and assist with administrative aspects of legal matter management.
- Coordinate with internal departments and external parties where required.
- Use technology, including Microsoft Office, document management tools, databases, and AI-enabled tools, to improve efficiency, accuracy, and workflow consistency.
- Support process improvement initiatives for administrative and document management workflows.
- Perform other administrative and operational duties as assigned.
Requirements
- Highly ethical, discreet, and able to handle confidential information with sound judgment.
- Meticulous, organized, and detail-oriented, with a strong commitment to accuracy and quality.
- Comfortable managing repetitive, high-volume administrative work in a structured and reliable manner.
- Able to prioritize tasks, manage multiple assignments, and work effectively in a fast-paced environment.
- Tech-savvy and confident using Microsoft Office applications; experience with databases, document management systems, or workflow tools is an advantage.
- Open to using AI-enabled tools responsibly to improve efficiency, formatting, organization, and administrative processes.
- Good communication and interpersonal skills, with the ability to work collaboratively across teams and jurisdictions.
- Professional, dependable, and service-oriented, with a strong sense of ownership over administrative excellence.
