Responsibilities
The position of Manager is within the Expense Management & Analysis sub-department of the Fund Finance Department. Expense Management & Analysis includes various functions including Accounts Payable, Expense Allocation, Accounts Receivable, Expense Business Intelligence, and Expense Advisory.
- Responsible for managing and overseeing the accurate allocation of external expenses to chargeback across investment funds and legal entities. He/She will play a critical role in ensuring expense allocations are performed in accordance with governing documents, accounting policies, and regulatory requirements while supporting transparency, operational efficiency, and financial accuracy. He/She will be responsible for executing and supporting operational activities within External Allocations and will have a strong understanding of the processes, documentation, and regularly interface with internal and external stakeholders. The role requires consistent collaboration with the Fund Accountants, Investment Managers, and Cost Center Administrators, along with clear communication and a proactive leadership style.
Typical Responsibilities are -
Expense Allocation & Chargeback Management
- Calculate and process external expense allocations and chargebacks to investment funds and related entities based on governing documents, allocation methodologies, and management directives.
- Investigate and resolve allocation-related discrepancies in collaboration with Fund Accounting and other operational teams.
- Coordinate with Accounts Payable and business stakeholders to resolve allocation discrepancies, coding issues, and incomplete supporting documentation.
- llocation Review & Team Oversight
- Share ownership and oversight of the expense allocation review process in partnership with Senior Manager to ensure accuracy, consistency, and compliance with organizational standards.
- Review and validate allocation outputs and supporting documentation to ensure completeness, transparency, and adherence to established policies.
Stakeholder Support & Cross-Functional Collaboration
- Serve as a key point of contact for internal stakeholders, including Investment Teams and Fund Accounting teams.
- Provide technical guidance and responsive customer support related to allocation methodologies, chargebacks, and expense-related inquiries.
- Collaborate with global teams across regions to support consistent and compliant expense allocation practices.
Compliance, Controls & Documentation
- Ensure all allocation activities are performed in compliance with applicable accounting standards, fund governing documents, internal policies, and regulatory requirements.
- Maintain strong internal controls over allocation processes, including proper documentation, review procedures, and audit readiness.
- Prepare and maintain detailed process documentation, job aids, and allocation records to facilitate internal and external audits.
Process Improvement & Systems Enhancement
- Participate in projects and continuous improvement initiatives focused on enhancing expense tracking, allocation methodologies and fund accounting systems.
- Provide recommendations to streamline workflows, improve automation, strengthen controls, and enhance reporting capabilities.
- Support implementation and optimization of financial systems and tools related to expense allocation and fund operations.
Qualifications
- 8–10 years of relevant experience within an asset management firm, investment bank, or other financial services organization.
- Strong attention to detail, critical thinking, and analytical skills, with the ability to independently research issues and propose effective solutions.
- Excellent interpersonal, verbal, and written communication skills.
- Self-starter with strong initiative and a proven ability to work independently with minimal supervision.
- Demonstrated ability to prioritize and manage multiple competing tasks effectively.
- Proficiency in Microsoft Office Suite, with advanced expertise in Excel, including data analysis, pivot tables, charts, and complex formulas.
- Experience with Power BI or reporting dashboards is a plus.
- Strong interpersonal skills with the ability to leverage firm-wide resources effectively and judiciously.
- A team-oriented mindset with a high level of integrity and professionalism.
