Our employees are not only part of history, they're making history.The Mission & Payload Programs Operating Unit seeks a proactive Administrative Assistant 2 to provide comprehensive executive‑assistant and office‑manager support to senior leaders and program teams at the Rolling Meadows, IL campus. The role blends a variety of responsibilities to ensure seamless workflow for a fast‑paced aerospace environment. Candidates must be willing and able to obtain and maintain a Top‑Secret/SCI clearance.
Core Responsibilities
Executive Support
- Manage and prioritize multiple executive calendars; schedule meetings, resolve conflicts.
- Arrange domestic and international travel, process required documentation, and submit expense reports promptly.
- Work in close coordination with other administrative assistants across geographic and organizational boundaries
- Support internal and external reporting requirements. Collect, compile, prepare draft documents, plan and schedule reviews, and facilitate complete and timely submissions
Meeting & Event Coordination
- Coordinate conference‑room bookings, catering, and on‑site event logistics for internal and external meetings
- Greet and escort visitors, assist with badge issuance, and support the program security team as needed.
Office Management
- Support the employee experience by creating a meaningful atmosphere for new and established employees
- Serve as a resource to the local Space Systems employee population, providing direct support and/or referrals, as appropriate
- Order and manage inventory of office supplies
- Coordinate facility maintenance and cleaning activities
Continuous Improvement
- Anticipate business needs, identify process inefficiencies, and recommend workflow enhancements.
Basic Qualifications
- High‑school diploma (or equivalent) and 2 years of professional administrative experience, or similar
- Proactive with the ability to work independently and anticipate business needs
- Proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint)
- U.S. citizenship required
- Must be able to obtain and maintain a Top Secret/SCI clearance
Preferred Qualifications
- Bachelor’s degree
- Administrative experience in an aerospace and defense business environment
- Familiar with Northrop Grumman (NG) policies and procedures
- Familiar with NG systems (Concur, iBuy, iTrip, etc.)
- Able to handle multiple tasks, changing needs, and competing priorities in a positive manner
- Strong interpersonal, communication, and organizational skills
- Active Top Secret clearance
