GRE organization has worldwide responsibility for IBM's owned and leased real estate portfolio and its capabilities extend across a 40M square feet in more than 100 countries in multiple geographic regions. Job purpose and territory coverage We are looking for a Global Real Estate Portfolio Lead for our PBU (Poland, Baltics and Ukraine) portfolio, to be based in Poland whose focus will be on managing and controlling IBM’s Real Estate operations and spend. He / She will be part of the GRE CEE & DACH team and will be responsible (subject to possible expansion to other locations / countries) for the PBU portfolio, that currently covers 11 IBM locations spread across 5 countries with a total of 18.5k sqm (or 196k sf). Position Description The Global Real Estate Portfolio Lead is responsible for the real estate strategy development & implementation, performance management and continuous improvement of the organization’s workplace experience services and programs for IBM employees, clients, and guests. Services may include, but not limited to facilities operations with focus on hospitality, food & beverage, and amenities, audio/visual, office services and service centers. This person acts as the primary liaison between business units and Global Real Estate functions (Transactions, Design & Construction, Safety and Facilities Management) and will focus on executing and ensuring safe, cost-efficient, and productive environments through proper ‘day-to-day business’ implementation. Job description (Key Responsibilities & Tasks) Relationship Manager for local Business leaders and Site Location Executives (SLEs) for all sites within the area of responsibility. Real Estate single point of contact for the clients, in charge to govern and coordinate all project, facility, leasing requests, resources, status, and activities within the territory. Partner with clients to collect and generate requirements and scope for space and investments. Business engagement lead for all Real Estate initiatives, communication, and change management. Proactively engage business leaders at each location to develop investment prioritization and provide status updates on the execution of key strategies. Integrate with clients throughout GRE portfolio on business planning, goals, problem statements and solutions. Partner with clients and real estate support functions (Transactions, Design & Construction, Safety and Facility Management) to enable performance. Optimize cost and efficiency, delivering shareholder value for each location within the area of responsibility. Embedded within the business at each location, participating in client's goal setting and business planning process. Client escalation and issues management. Review and utilize data and operational reports to identify outliers, opportunities, and garner insights over the delivery of real estate services across the area of responsibility. Deliver business intelligence and reporting to the clients. Real Estate lead to coordinate and provide the voice of the client for all real estate pilots and test and learns. Acquisition, renewal, and disposition planning. Develop fact-based scenario planning and educate the business on context, drivers, and options. Educate the clients on emerging trends and alternatives in real estate. Drive more agility in the regional real estate portfolio. Workplace and occupancy planning. Forecast and management of demand and capacity. Conduct quarterly business reviews for locations within the GRE Portfolio. Understand the full array of stakeholders, purpose of requests and relationship accountability to avoid duplication of effort, false starts, and confusion. Coordinate and lead all engagement and status meetings, including but not limited to annual, quarterly business reviews monthly real estate updates and weekly operational reviews. Ambassador for GRE transformation, strategy, and initiatives inclusive of sustainability and innovation. In charge with GRE total expense budget for territory, optimize cost and engineer efficiency. Participates in overall departmental program planning. Has budgetary responsibility, contributes by supporting activities that are subject to business measurements, impact customer satisfaction, or impact immediate costs or expenses. Align on geo strategies/ projects/ etc. and report to GRE Head of Real Estate CEE & DACH. Bachelor’s Degree in Civil Engineering / Finance or Business Administration / Corporate Real Estate. A good knowledge about how office buildings are designed, built and operated (e.g. 5+ years of applied experienced in corporate real estate design, construction and operations). A good understanding of international corporate real estate standards. Good written and verbal communication skills in English (any other language is an advantage).
