The Executive Assistant will provide comprehensive administrative support to IBM’s leadership globally, with a primary focus on North America and the flexibility to support executives across Latin America as business needs evolve. Your role as EA: · Calendar Management - Manage complex calendars and ensure meetings are scheduled in a timely manner with appropriate details to facilitate effective outcomes. - Serve as the primary point of contact for all meeting requests from your executives and their team, emphasizing proactive problem-solving and continuous improvement. - Demonstrate strong teamwork and relationship management skills in scheduling and coordinating meetings. · Travel and Expense Management - Book executive domestic and international travel arrangements. - Submit expense reports within the required timeframe, showcasing adaptability and flexibility in a demanding environment. - Process expenses and perform charge card reconciliation efficiently. · Relationship Management and Process Improvement - Support other executives during peer absences, showcasing a proactive mindset. - Build and maintain relationships with your executives and internal stakeholders. - Offer suggestions for process improvements to enhance efficiency. - Continuously improve business acumen knowledge to provide better support to the executives under responsibility. · Professionalism and Development - Maintain a professional attitude and demeanor while working effectively in a complex and demanding environment. - Demonstrate a proactive, solution-oriented mindset by addressing issues before they become problems and seeking ways to improve processes. - Show commitment to ongoing professional development to enhance skills and knowledge. Proficiency in calendaring tools such as Outlook and MS Office package. Excellent verbal and written communication skills, with fluency in English (Level C1). Exceptional organizational, time-management, and prioritization skills, with the ability to work effectively under pressure in a demanding environment. Strong teamwork skills and the ability to collaborate effectively with others. Relationship management skills and the capacity to build a personal network across the company. Proficiency in Spanish language. Two years of administrative or multinational company experience. Third language as a plus. Basic AI Knowledge.
