Position Summary
Guggenheim is seeking a proactive Executive Assistant. This person will support a dynamic team in a fast-paced environment, providing direct support to the Head of Institutional North America as well as the North American Institutional Distribution team. The ideal candidate must exercise excellent judgment, have exceptional communication skills, and demonstrate strong client service. The successful candidate will have prior experience in an executive assistant role and be comfortable interacting with senior executives across the firm. This position is located in the Stamford office, full-time.
Responsibilities
Key Responsibilities:
- Provide administrative support to the Institutional North America team, reporting to the Head of Institutional North America
- Prioritize emails and phone calls, gather documents to prepare for meetings and coordinate travel arrangements
- Conduct expense report and approval form documentation training for GI sales new hires
- Manage calendar for Head of GI Global Distribution, including making appointments and prioritizing the most sensitive matters
- Keep communications organized for easy access to most important information
- Own the NA Institutional travel request documentation process
- Serve as team liaison to travel vendor Ovation and internal travel team
Qualifications
Basic Qualifications
- Bachelor’s degree
- Must have work experience using Excel, Office and PowerPoint for presentations and reports
- Experience with:
- coordinating travel and meeting arrangements
- managing calendars across time zones
- submitting expense reports
- travel request process
Preferred Qualifications
- Approximately 5 years of related experience supporting at least one senior executive; experience within financial services preferred
- Strong interpersonal, organizational, communication and problem-solving skills
- Ability to effectively communicate and collaborate with diverse personalities in all levels of management, as well as outside vendors and clients
- Ability to demonstrate discretion in handling confidential data and dealing with high-level executives
- Organized, detail oriented and extremely thorough while having confidence, poise and communication skills necessary to ensure work processes are accurately and appropriately completed
- Learning agility, adapting quickly and appropriately with keen attention to detail
- Collaborative and energized by the open exchange of ideas
- Maintains accountability and accepts responsibility; Able to prioritize appropriately
- Must have work experience using Excel, Office and PowerPoint for presentations and reports

Salary Range
Annual base salary between
-$80,000.00
The base salary range represents the low and high end of the anticipated base salary range for this position. Actual base salaries may vary depending on factors such as location and experience. The range listed reflects base salary only, and the total compensation package may include other components such as incentive compensation.
