Job Description
Responsibilities:
Managing the VP’s complex calendar, including scheduling across global time zones and prioritizing internal and external meetings, coordinating appointments, and ensuring optimal time management.
Arranging domestic and international travel, including flight bookings, accommodations, transportation, and detailed itineraries, while adjusting to last-minute changes as needed.
Organizing and preparing expense reports with corresponding receipts and attendees while understanding global travel and expense guidelines.
Preparing, reviewing, and editing correspondence, presentations, and reports for the VP, ensuring accuracy, professionalism, and alignment with organizational objectives.
Coordinating logistics for meetings and events, including agenda development, attendee communication, venue selection, and preparation of supporting materials.
Serving as a primary point of contact between the VP, internal teams, and external partners, facilitating clear and timely communication.
Handling sensitive and confidential information with the utmost integrity and discretion.
Overseeing the flow of information and documentation, ensuring timely responses and follow-up on action items as directed by the VP.
Assisting with special projects and initiatives led by the VP, including research, data collection, and progress tracking.
Proactively identifying opportunities to streamline processes, enhance productivity, and anticipate the evolving needs of the VP and the leadership team.
This role will be based in Salt Lake City office.
Required Qualifications:
Education: Bachelor’s degree from an accredited university or college preferred; a high school diploma with substantial relevant experience may be considered.
Experience: Minimum of 10 years providing executive-level support in a fast-paced, dynamic environment, ideally within an international or multi-functional setting.
Organizational Skills: Demonstrated excellence in managing complex calendars, travel arrangements, and logistics for senior leadership, with a proven ability to anticipate needs and adapt to changing priorities.
Communication: Outstanding verbal and written communication skills, with experience preparing, reviewing, and editing correspondence, presentations, and reports at an executive level.
Confidentiality: Proven track record handling sensitive and confidential information with integrity, judgment, and discretion.
Technological Proficiency: Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with collaboration tools and virtual meeting platforms.
Problem-Solving: Strong critical thinking and problem-solving abilities, with resourcefulness in addressing unexpected challenges and resolving issues independently within established guidelines.
Interpersonal Skills: Excellent relationship-building and interpersonal skills; able to serve as a trusted liaison between the GM, internal teams, and external partners.
Attention to Detail: Exceptional attention to detail and a commitment to accuracy and professionalism in all deliverables.
Flexibility: Ability to manage multiple priorities, work under pressure, and adjust to last-minute changes or evolving business needs.
Initiative: Self-motivated and proactive in identifying opportunities for process improvement and supporting special projects as needed.
Global Perspective: Experience coordinating international travel and working across time zones is a strong asset.
