About the Role & Team
In this role, you will be responsible for supporting the day-to-day administrative function that will ensure smooth operations while providing essential support for the leaders. This role is often cross-functional, providing support for two or more departments, with responsibilities that are specific to the line of business and may vary over time. The teams are leaders who require assistance with calendar management, internal and external Cast and Guest requests, as well as work-related processes and deliverables. The nature of these requests may differ depending on the department and seasonality. They may be scheduled in advance or arise unexpectedly, sometimes with short notice.
Success in this role requires strong technical, organizational, and communication skills. Leaders will rely on the individual’s ability to prioritize effectively, manage multiple responsibilities, and communicate clearly and professionally, both verbally and in writing. While core duties include calendaring, preparing memos, managing expense reports, and maintaining spreadsheets, this position is fundamentally centered on people and relationships.
The ideal candidate will build strong partnerships with leaders and colleagues, provide thoughtful and responsive support, and develop a strong understanding of the structure and operation.

- Calendar management for Senior Leaders to understand the day's priorities, including conference rooms, meetings and video chats
- Assist Leader of Leaders with scheduling large meetings and meeting setup
- Prepare your Leaders for the day, which could include regular reports and summaries — you'll have tasks that you "own" completely, and others that you assist with
- Prioritize tasks, ask questions and adjust to changes within the workday
- Handle deadlines while being organized and communicating with your leader
- Collaborate on projects by conducting research, writing, and fact-checking
- Assist with onboarding new employees - you'll be the "friendly face" that new Cast Members count on to answer all their questions
- Plan events like vendor visits, tours, team building, team outings and collaboration sessions
- Work with multiple departments, internal & external clients and Executive staff, including backup support to other administrative assistants and executive assistants as needed.
- Handle highly confidential and sensitive information with utmost discretion
- Perform general office duties including inventory of the office and kitchen supplies
- Prepare, submit, and reconcile expense and travel reports in accordance with company policies
- Maintain and organize files along with following RIM guidelines
Required Qualifications & Skills
- Minimum 2 years in an administrative or support role and/or equivalent experience
- Clear and professional verbal and written communication skills, including exceptional phone etiquette
- Ability to multitask and prioritize deadlines/deliverables
- Reliability and punctuality
- Strong proficiency with computers, phones, office and A/V equipment
- Technical proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- A calm head and steady hand to deal with the unexpected
- Confidence to learn new programs such as SAP, Workday, Teams, and Concur, as VTC coordination
- Reliability in handling confidential information
- Possess a genuine commitment to supporting leaders and team members, ability to anticipate needs, takes initiative to provide exceptional service, and builds collaborative relationships across the organization
- Strong organizational skills and attention to detail
- A positive outlook with a "solve-for-yes" attitude

Education
- High School Diploma or Equivalent Experience
The hiring range for this position in Orlando, Florida, is $22.16 - $29.72 per hour. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range medical, financial, and/or other benefits, dependent on the level and position offered.
