Job Description:
Day-to-day responsibilities include calendaring, completing expense reports, travel planning, and managing internal and external communications. This role will support the SVP and team in creating presentation materials, providing project management support, coordinating department-level meetings and events, and collecting timely updates from the team to share with senior leadership. In addition to understanding the executive’s business -- and business needs – the role will require any candidates to build an understanding of the leadership and workings of National Geographic and The Walt Disney Company.
Candidates for this role should feel comfortable acting as an administrator in a professional setting, maintaining strict confidentiality standards, and representing the department to the broader organization. They will need to be detail-oriented and organized, with the ability to balance multiple high-priority projects with tight deadlines. They should present as professional, have a positive attitude, and be proactive, resourceful, and flexible. Excellent written and verbal communication skills are a must.
Responsibilities:
- Calendaring: Manage the day-to-day schedule of the SVP, balancing heavy demands on her schedule with the requirements of the business. Includes scheduling meetings, communicating with key stakeholders and other administrative professionals, as well as booking travel. Will require communication with internal and external stakeholders.
- Administrative support for the SVP Direct Reports: Will include scheduling and coordination of meetings, as well as collecting updates, information, and deliverables for the SVP.
- Coordinate with other administrative leads across departments: Work with similar staff members across teams within Nat Geo Content to ensure smooth communication, scheduling, and collaboration between executives and staff.
- Documentation: Pull data and reports for review by the SVP, take notes during meetings, collect regular updates and deliverables from the Brand & Franchise team to share with leadership
- Expense reporting: File timely and accurate expense reports on behalf of the SVP and occasionally her Direct Reports or on behalf of department-level initiatives
Basic Qualifications:
- Knowledge of appropriate software including but not limited to: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint, Keynote, Google workspace, Zoom, and Adobe Acrobat and All Social Media Platforms
- Relevant Internship Experience within Entertainment or Project Management
Preferred Qualifications:
- 2+ years working as an administrative assistant, executive support preferred
Preferred Education:
- Bachelor’s Degree or equivalent work experience
The hiring range for this position in Burbank, CA and Washington DC is $59,600 to $79,800 per year based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
