Position Summary:
The HR Operations Specialist is responsible for delivering efficient, accurate, and compliant HR operational services across the employee lifecycle. This role supports HR processes, employee transactions, data management, compliance activities, and continuous process improvements to ensure a positive employee experience and operational excellence.
Key Responsibilities:
Employee Lifecycle Management
- Manage end-to-end HR transactions including onboarding, employee changes, promotions, transfers, leaves of absence, and offboarding.
- Ensure timely and accurate processing of employee records and personnel actions.
- Coordinate new hire documentation, orientation activities, and onboarding requirements.
- Support exit processes, including separation documentation and system updates.
HR Administration & Service Delivery
- Provide day-to-day HR operational support to employees, managers, and HR stakeholders.
- Respond to HR inquiries and resolve employee issues in accordance with service level agreements (SLAs).
- Maintain employee records and documentation in compliance with company policies and legal requirements.
- Generate employment verification letters, HR documents, and employee correspondence as required.
HR Systems & Data Management
- Maintain and update employee information in HR systems (e.g., Workday).
- Ensure data accuracy, integrity, and confidentiality across HR platforms.
- Conduct regular data audits and validations to maintain high-quality employee records.
- Support HR system testing, upgrades, and process enhancements.
Payroll & Benefits Support
- Partner with Payroll teams to ensure accurate employee data and timely payroll processing.
- Support benefits administration activities, including enrollment, changes, and employee inquiries.
- Assist with payroll audits and reconciliation activities.
- Coordinate with vendors and internal stakeholders on benefits-related matters.
Compliance & Governance
- Ensure HR operations comply with company policies, employment regulations, and statutory requirements.
- Support internal and external audit requests by providing necessary documentation and reports.
- Maintain confidentiality of employee information and sensitive HR data.
- Assist in monitoring compliance activities and HR operational controls.
Reporting & Analytics
- Prepare recurring HR operational reports and workforce metrics.
- Support HR data requests and reporting requirements from business stakeholders.
- Monitor HR operational KPIs and identify opportunities for improvement.
- Assist in workforce data analysis and HR dashboards.
Process Improvement
- Identify opportunities to streamline HR processes and improve operational efficiency.
- Support HR transformation initiatives and process standardization efforts.
- Create and maintain standard operating procedures (SOPs) and process documentation.
- Participate in continuous improvement projects and employee experience initiatives.
Required Qualifications:
Education
Bachelor's Degree in Human Resources, Business Administration, Management, or a related field
Experience
- 2–5 years of experience in HR Operations, HR Shared Services, HR Administration, or related HR roles.
- Experience working with HR systems such as Workday, SAP SuccessFactors, Oracle HCM, or similar platforms.
- Experience supporting employee lifecycle administration and HR service delivery.
- Shared Services and multinational environment experience is preferred.
