Job Summary
Provide administrative and coordination support to the EHS department to ensure compliance with company policies, client requirements, and legal regulations. Maintain EHS records, prepare reports, coordinate training, manage PPE inventory, and support safety programs and site activities.
Key Responsibilities
•Maintain EHS documentation, records, permits, and filing systems.(in ACC, Share point)
•Prepare, submit, and follow up on statutory documents, permits, licenses, and registrations with government authorities and regulatory agencies.
•Manage training records, certificates, and employee EHS inductions.
•Support incident, accident, and near-miss reporting and documentation.
•Monitor corrective actions and follow up on close-out status.
•Assist with site inspections, audits, and compliance tracking.
•Coordinate communication with contractors, clients, and regulatory agencies as required.
•Manage PPE inventory, stock control, issuance, and replenishment to ensure adequate availability at all times.
•Maintain PPE issuance records and conduct regular stock checks and inventory audits.
•Coordinate PPE procurement and monitor stock levels to prevent shortages.
•Prepare and provide appropriate PPE for visitors, clients, auditors, consultants, and management during site visits.
•Monitor PPE consumption trends and prepare monthly inventory and usage reports.
•Support onboarding processes by preparing EHS documentation, induction records, and required safety equipment for new employees and visitors.
•Perform other EHS administrative duties assigned by the EHS Manager.
•Support Site Administration activities to ensure smooth day-to-day project operations.
•Coordinate with Site Administration, HR, Procurement, and Project teams on administrative matters.
•Assist in managing site office facilities, office supplies, and administrative records.
•Support employee onboarding, site access applications, accommodation arrangements, and transportation coordination as required.
Qualifications
•Diploma or Bachelor's Degree in Occupational Health & Safety, Environmental Science, Business Administration, or related field.
•Minimum 1–3 years of experience in EHS Administration, Site Administration, or related roles.
•Experience in construction, industrial, or data center projects is preferred.
•Good knowledge of occupational safety regulations and standards.
•Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook).
•Experience with document control systems and inventory management is an advantage.

Preferred Experience
•Experience supporting EHS teams on data center or large-scale construction projects.
•Familiarity with Permit to Work (PTW) systems and contractor management.
•Experience managing PPE inventory and visitor safety requirements.
•Experience supporting client audits, inspections, and compliance reporting.
•Familiarity with ISO 45001 and ISO 14001 management systems.
