Position Summary:
The Insurance Coordinator serves as the primary point of contact for clients’ personal insurance needs, managing policies from initial application through renewal in close partnership with outside insurance agents and internal Fiscal teams. This role ensures clients maintain appropriate, current coverage across a wide range of policy types, proactively identifies coverage needs as client circumstances change, and guides clients through the claims process when needed. The Insurance Coordinator also supports life insurance trust administration and a variety of general client service needs. This is a detail-oriented, relationship-driven role that requires strong organization and follow-through.
Primary Responsibilities
Serve as the primary point of contact for clients’ personal insurance needs, managing policies (homeowners, renters, condo/dwelling, umbrella, auto, watercraft, scheduled items, gun, equine, disability, life, long-term care, workers’ comp for domestic employees, etc.) from initial application through issuance
Work directly with insurance agents to process policy changes, confirm renewals, obtain quotes, secure new coverage, and cancel policies as needed
Maintain and organize all client insurance policy files, partnering with Fiscal Client Controllers to confirm policies and premiums remain current
Connect clients with outside agency partners to secure health insurance and life insurance (for investment-only clients)
Maintain a semi-annual Insurance Review summary for each client and provide it to Fiscal Planning Analysts ahead of client annual review meetings
Monitor changes in client circumstances (home or vehicle purchases/sales, home improvements, new dependents, employment changes, major asset purchases, new employees, etc.) that may affect insurance coverage, and proactively recommend adjustments
Guide clients through the claims process by connecting them promptly with their agent, monitoring claim status, and providing updates to the client’s advisor until resolution
Coordinate life insurance trust administration, including confirming trustee gifts, preparing Crummey letters, tracking beneficiary notices, and coordinating premium payments from trust accounts
Support general client service needs such as Greenbelt applications/renewals, vehicle retitling, and Medicare and birthday milestone tracking
Required Qualifications:
Bachelor’s degree or equivalent professional experience
1-4 years of experience in insurance coordination, account management, or a related client service role; personal lines insurance experience strongly preferred
Skills and Competencies:
Strong organizational skills and attention to detail, with the ability to manage multiple client files and deadlines simultaneously
Excellent written and verbal communication skills with a strong client-service orientation
Proficiency with Microsoft Office (Excel, Outlook, Word)
Ability to work collaboratively across internal teams (Fiscal Planning, Client Controllers) and external insurance agents/partners
Compensation Range:
$60,000 - $70,000
