Position Overview
This is a hybrid role but must be able to commute to Beijing when needed. We are looking for a rockstar Executive Assistant to support our Vice President of Sales Finance, based in Beijing and her global finance team about 60 members. Our idea of a great team includes transparency, kindness, cutting-edge technology, rolling up our sleeves when needed and supporting one another. We are looking for someone who provides administrative support to the high level of leaders in the team by acting as a facilitator and liaison, handling details of a highly confidential and critical nature to internal and external contacts.
The ideal candidate is very flexible, enjoys working in a fast-paced environment and managing multiple tasks, and is not afraid of making recommendations to create better ways of working. The position requires high confidentiality and maturity, use of initiative, tact and independent judgement to pro-actively address potential problems and ensure an efficiently functioning team. Responsibilities
Provides the Team with administrative support. Includes complex calendaring, planning, screening and making phone calls, arranging global travel and creating expense reports
Plans and coordinates events and meetings on and offsite, including preparation of meeting materials, logistics, agenda, and communications with attendees
Develops and maintains positive working relationships with internal and outside parties, including high-level contacts of a sensitive nature. Manages information flow
Provides staff meeting support. Prepares agendas, takes notes and distributes meeting minutes and presentations. Tracks action items and communicates status
Creates presentations, drafts emails and other communications
Shares best practices with colleagues and other EAs
Manages ad-hoc projects
Flexibility to support other Finance VPs as needed/available
Minimum Qualifications
6+ years relevant experience in a fast-paced/dynamic company
Associate degree in Business or equivalent experience
English in written and verbal communications is a must as to support a global team
Strong detail orientation and solid analytical skills.
High level skill with Microsoft Office tools, especially PowerPoint, Teams, Word, and Excel
Proven and successful team player and team building skills
In-depth knowledge of company protocol and business issues/needs and the ability to work within a matrix-ed organization
