We are seeking a proactive and detail-oriented Executive Assistant to support Directors within the AWS Telco EMEA organization in Rome. The role requires managing complex calendars across time zones, coordinating international travel, and driving operational efficiency across multiple leaders — all with a high degree of autonomy and discretion in a fast-paced environment.
Key job responsibilities
Manage complex calendars for two Directors across time zones, proactively resolving conflicts
Coordinate domestic and international travel, including visas, itineraries, and expense reports
Organize team meetings, offsites, and events end-to-end (logistics, agendas, follow-ups)
Process purchase orders, invoices, and track team budgets
Handle confidential information with discretion and sound judgment
Act as liaison between leaders, internal teams, and external stakeholders
Identify and implement process improvements to increase team efficiency
Support new hire onboarding and maintain team documentation
A day in the life
No two days look alike. You might start by aligning calendars across three time zones for a leadership review, pivot to rebooking a last-minute flight to London, then pull together a deck for an internal - all before lunch. In the afternoon, you could be processing POs, chasing approvals, or briefing a new hire on team norms. You'll work across Slack, Chime, email, and in-person — connecting the dots so your leaders can focus on customers. Basic Qualifications
- Speak, write, and read fluently in English
- Experience working with changing priorities and schedules
- Knowledge of Microsoft Office products and applications
- Experience completing complex tasks quickly with little to no guidance and react with appropriate urgency to situations that require a quick turnaround, or experience managing teams
- 3+ years of experience as an Executive Assistant or Senior Administrative Assistant supporting Director-level or above
- Experience coordinating international travel and expense management
Preferred Qualifications
- Experience managing teams, or experience communicating with a wide range of stakeholders, including colleagues and leadership
- Experience working cross functionally with tech teams
- Knowledge of general AI tools
- Experience communicating with a wide range of stakeholders, including colleagues and leadership, or experience with external customer interaction
- Experience in account management, project/program management, or buying

The minimum gross base salary for this position is listed below. The base salary listed corresponds to working on a full-time basis. For part-time hours, the salary will be pro-rated.
