Key job responsibilities
- Manage complex calendars and scheduling for senior leaders, applying an understanding of shifting priorities to ensure the best use of their time across competing demands.
- Plan, organize, and execute events and off-sites, coordinating logistics, managing budgets, and communicating with internal and external stakeholders to deliver seamless experiences.
- Prepare, collect, and curate content on behalf of leaders in partnership with key stakeholders, drafting and editing written communications that reflect appropriate tone and nuance.
- Optimize cross-team procedures and processes, identifying opportunities to simplify workflows and implement best practices that benefit the broader organization.
- Coordinate domestic and international travel arrangements, manage expense reporting, and handle purchase orders while ensuring compliance with applicable guidelines.
A day in the life
You start your morning reviewing your leader's calendar, adjusting meetings based on overnight priority shifts and preparing briefing materials for the day ahead. Throughout the day, you move between coordinating a large team event, resolving a scheduling conflict with external partners, mentoring a newer team member on best practices, and pulling together content for an upcoming leadership review. You balance tactical execution with strategic thinking, always staying one step ahead.

Basic Qualifications
- Bachelor's degree in Business Administration, Office Management, or a related field (or equivalent experience)
- 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior leadership
- Advanced proficiency in English and Spanish (written and verbal) – C1 level or above
- Experience managing complex calendars, scheduling meetings across multiple time zones, and coordinating domestic and international travel arrangements
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and/or Google Workspace
- Experience handling confidential information with discretion and professionalism
- Demonstrated ability to manage multiple priorities simultaneously in a fast-paced environment
- Strong organizational skills with exceptional attention to detail
- Experience preparing expense reports, purchase orders, and managing budgets
Preferred Qualifications
- Proficiency with collaboration and productivity tools (e.g., Slack, Chime, Zoom, Asana, or similar)
- Experience planning and coordinating large-scale events, off-sites, or team-building activities
- Familiarity with procurement systems and vendor management processes
- Project management experience or certification (PMP, CAPM, or equivalent)
- Proven ability to build cross-functional relationships and work effectively with stakeholders at all levels
- Experience supporting multiple leaders simultaneously
- Knowledge of data analysis or reporting tools (e.g., Excel pivot tables, dashboards)
- Demonstrated ability to anticipate needs, proactively solve problems, and drive process improvements
- Experience in a high-growth, fast-paced environment with shifting priorities
