Job Description
The Bids, Tender & Sales Support Specialist supports Agilent's APAC commercial organization by managing key Bids & Tenders activities while also supporting critical Sales Support and Quote-to-Cash (QTC) processes. This role acts as part of the Sales team, partnering with Sales Process support (SPS) teams and key cross-functional stakeholders to ensure timely tender submissions, operational excellence, customer satisfaction, process compliance, and business growth.
The position serves as a key liaison between Sales and other stakeholders to drive tender success, sales operations effectiveness, digital transformation, and continuous improvement initiatives.
Key Responsibilities
Bids & Tenders Identification, Management & Analysis
- Consolidate and report on Bids & Tenders (B&T) operational metrics, market trends, local legislative changes, and key business needs.
- Act as part of the Sales team, partnering with SPS and cross-functional stakeholders to support tender-related and commercial activities.
- Proactively identify and assess tender opportunities through government portals, customer requests, and industry platforms.
- Analyze tender requirements, terms and conditions, evaluation criteria, compliance risks, and customer procurement trends.
- Develop competitive intelligence and recommend strategies to improve bid quality, win rates, and business outcomes.
Bids & Tenders Preparation, Operations & Compliance
- Coordinate end-to-end tender preparation and submission activities, including approvals, pricing, technical information, and supporting documentation.
- Prepare accurate, complete, and compliant bid proposals while serving as the primary point of contact for tender-related communications.
- Maintain BTTT (Bids & Tender Tracking Tool), tender databases, SharePoint sites, Teams channels, and documentation repositories to ensure data integrity, audit readiness, and knowledge sharing.
- Collaborate with Sales, Contracts, Finance, Legal, Compliance, Global Trade, WWCQ, and SPS teams to ensure successful tender execution and issue resolution.
- Ensure all tender activities are conducted in accordance with Agilent's legal, ethical, compliance, and audit requirements.
Sales Support & Commercial Operations
- Support end-to-end Quote-to-Cash (QTC) activities including quote creation, order booking, contract documentation, and customer support.
- Ensure timely and accurate processing of commercial transactions in accordance with established business SLAs.
- Maintain high-quality data within Salesforce CRM, SAP, CPQ, and other business systems.
- Support country-specific customer documentation and commercial requirements.
- Collaborate with Sales, Service, Logistics, Finance, and Operations teams to resolve customer and operational issues.
- Function as a key champion of Sales Process Excellence initiatives and support Ease of Doing Business (EODB) efforts.
- Solve a broad range of system, workflow, and operational issues of varying scope and complexity.
Reporting, Analytics & Continuous Improvement
- Generate regular and ad-hoc reports on tender activities, submission rates, win/loss ratios, reasons for success and failure, and market trends.
- Analyze tender outcomes to identify opportunities for improving bidding strategies, win rates, and operational efficiency.
- Analyze operational data and generate reports to support sales and business decision-making.
- Identify opportunities for process simplification, automation, standardization, and digital transformation.
- Support regional projects, system enhancements, and continuous improvement initiatives.
- Drive the adoption and effective use of AI and digital tools (e.g., Microsoft Copilot) to improve operational efficiency, automate workflows, support decision-making, and accelerate continuous process improvement initiatives.
Qualifications
- Bachelor’s Degree in Business Administration, Commerce, Marketing, Sales, Operations, or related field.
- 3–5 years of experience in Bid & Tender Management, Sales Support, Commercial Operations, Customer Support or Business Process Management.
- Experience in Scientific Instruments, Life Sciences, Medical Devices, Healthcare, or related industries preferred.
- Strong understanding of procurement processes, tender management, and commercial operations.
- Proven experience managing complex tender submissions and supporting commercial operations processes.
- Experience with Salesforce CRM, SAP ERP, CPQ, and Microsoft Office applications.
- Excellent communication, stakeholder management, analytical, and problem-solving skills.
- Ability to manage multiple priorities and work effectively under tight deadlines.
- Strong understanding of procurement processes, tendering requirements, Quote-to-Cash (QTC), and commercial business operations.
- Experience with Salesforce CRM, SAP ERP, CPQ, Microsoft Office, and collaboration platforms such as SharePoint and Teams.
- Familiarity with Power BI, business analytics, workflow automation, and AI-enabled productivity tools such as Microsoft Copilot.
- Ability to leverage AI and digital technologies to streamline processes, improve reporting, automate routine tasks, and enhance business decision-making.
- Excellent communication, stakeholder management, analytical, problem-solving, and organizational skills.
- Ability to manage multiple priorities, work under pressure, and deliver high-quality results with strong attention to detail.
